  • If selling the calendars, please note the number of calendars to be sold on the registration form.
  • If there are multiple children, assign all calendars (8 or 10) to the first child on the form and record the others as Opt Outs.
  • If Opting Out, collect the opt out money and check opt out on all registration forms.

No calendars will be distributed at registration.
They will be distributed by the coaches at the first practice.


Thank You for participating in the 2008 Fundraiser.

Once again this year we will be selling the daily number calendars. This program is our main source of income for capital and facility improvements.

MTBSA has been very proactive the past 5 years in securing fields for our growing program to use during the season. We will continue to explore new field opportunities the next 5 years as our youth population grows and we potentially lose use of some of our existing school fields due to school building expansion.

During the past few years MTBSA has spent over $200,000 on new fields and renovations to existing fields. We have partnered with some of our neighbors including Lancaster Bible College, Highland Church, Calvary Church and the Overlook Foundation in building new fields for our boys and girls programs.

Summary of Key Points:

  • The payout period for the calendars will be 4 months, June - Spetember 2008. Minimum payout is $50 per day.
  • Calendars will not be distributed at registration. They will be distributed by the coaches at the start of the season. Players/Parents will have about six weeks to sell the calendars.
  • Coaches will receive a packet for each player (not opt outs) that includes calendars and a return envelope for each player. They will also receive an envelope to place all the individual player’s return envelopes in.
  • A player’s own coach will be the sole point of contact for turning in money and ticket stubs.

Key Dates:

  • March 1 – League Directors submit rosters to fundraising coordinator
  • March 12 – Fundraising coordinator distributes Fundraising packets to League Directors.
  • March 19 - Coaches Mtg. / League Directors give Fundraising packet to Coaches
  • April 1 – Coaches distribute calendars and return envelopes to players at first practice.
  • May 10 – Last day for coaches to collect calendars and money from players. Return to League Director
  • May 17 – Last day for League Directors to return calendars and money to Fundraising Coordinator
  • June 1 – First day of payout period.
  • September 30 – Last day of payout period.

Summary of Responsibilities for the Fundraiser Process


League Director Responsibilities

  1. Submit team rosters with coaches to Fundraising Coordinator by 3/1.
  2. Distribute fundraising packets to coaches at coaches meeting on 3/19.
  3. Make sure all coaches understand their responsibilities in the fundraising process.
  4. Collect fundraising packets from coaches by 5/10.
  5. Review coaches packets for accuracy and completeness. Contact parents with unreturned calendars to collect all money due the MTBSA.
  6. Return fundraising packets to Fundraising Coordinator by 5/17.

Coach Responsibilities

  1. Distribute calendars and return envelopes to PARENTS at first practice or at your parents meeting. Appoint a team fundraising coordinator to serve as a point person for collections.
  2. Collect return envelopes, ticket stubs, money, and unsold calendars by 5/10.
  3. Review all players return envelopes for accuracy and completeness.
  4. Contact parents with unreturned calendars to collect all money due MTBSA.
  5. Return Coaches packet to League Director by 5/10.

Parent Responsibilities

  1. Return ticket stubs, money, and unsold tickets in the return envelope to coach by 5/10.
  2. Make sure ticket stubs are filled out completely and legibly. Also make sure that return envelope is filled out completely.
  3. Unsold calendars must be accompanied with $10 each to satisfy fundraising obligation.
  4. It is important that you return your packet to your coach only. No other person is authorized to collect from you.
