2012 FUNDRAISING GUIDELINES
Thank you for participating in the 2012 Fundraiser.
Once again, MTBSA participants will be selling the daily number calendars to support capital and facility improvements to the many baseball and softball fields we use every year. MTBSA has been proactive in securing fields for our growing program and we will continue to explore new field opportunities over the next 5 years as our youth population grows.
MTBSA has spent over $220,000 during the past few years on new fields and renovations. We have partnered with some of our neighbors, including Lancaster Bible College and the Overlook Foundation, to build new fields for our boys and girls programs such as the fields at Nitrauer and Weaver Road.

Minimum Calendar Sales
- 1 Player = Sell 5 calendars -OR- opt-out for $50
- 2 Players = Sell 8 calendars -OR- opt-out for $80
- 3 or more Players = Sell 10 calendars -OR- opt-out for $100
Families who sell more than their minimum requirement will receive a $5 per extra calendar refund toward their registration fee, not to exceed the family's registration fee paid for their 2012 MTBSA season. Please email the Fundraiser Coordinator (fundraiser@mtbsa.com) if you wish to obtain extra calendars.
Unsold calendars must be returned with $10 each to satisfy fundraising obligation if less than the minimum number of calendars has been sold.
Distribution and Key Points
Calendars are distributed by coaches at the first practice, and not at registration. If there are multiple children, all calendars will be distributed to the youngest participant.
The final day to elect to participate in the 2012 MTBSA fundraiser will be March 1, 2012. After that date MTBSA registrants may only opt-out of the fundraiser.
Players / Parents will have about six weeks to sell the calendars.
Coaches will receive a packet for each player (not opt outs) that includes calendars and a return envelope for each player. They will also receive an envelope in which to place all the individual player's return envelopes.
A player's own coach will be the sole point of contact for turning in money and ticket stubs.
Key Dates:
- April 1 – Coaches distribute calendars and envelopes to players at first practice.
- May 10 – Last day for coaches to collect calendars and money and return to League Director
- May 23 – Last day for League Directors to return calendars and money to Fundraising Coordinator.
- June 1 – First day of payout period. The payout period for the calendars will be 4 months, June - September 2012. Minimum payout is $50 per day.
- September 30 – Last day of payout period.
Responsibilities
League Director Responsibilities
- Submit team rosters with coaches to Fundraising Coordinator.
- Distribute fundraising packets to coaches at coaches meeting.
- Make sure all coaches understand their responsibilities in the fundraising process.
- Collect fundraising packets from coaches by 5/16.
- Review coaches packets for accuracy and completeness. Contact parents with unreturned
calendars to collect all money due the MTBSA.
- Return fundraising packets to Fundraising Coordinator by 5/23.
Coach Responsibilities
- Distribute calendars and return envelopes to PARENTS at first practice or at your parents meeting. Appoint a team fundraising coordinator to serve as a point person for collections.
- Collect return envelopes, ticket stubs, money, and unsold calendars by 5/10.
- Review all players return envelopes for accuracy and completeness.
- Contact parents with unreturned calendars to collect all money due MTBSA.
- Return Coaches packet to League Director by 5/16.
Parent Responsibilities
- Return ticket stubs, money, and unsold tickets in the return envelope to coach by May 5/10.
- Make sure ticket stubs are filled out completely and legibly. Also make sure that return envelope is filled out completely.
- Unsold calendars must be accompanied with $10 each to satisfy fundraising obligation.
- It is important that you return your packet to your coach only. No other person is authorized to collect from you.
